Why your documents should stay in-house: reading documents with AI, offline

· 4 min read · Mubtakarat IT

Organisations hold archives that must never leave the building: case files, student records, deeds and official correspondence. Yet many text-reading services depend on uploading documents to outside servers.

The hard trade-off

Organisations need to digitise their archives to search and use them, but uploading documents to an outside cloud service moves sensitive data beyond their control, and may conflict with data-protection law or their own policies. The result is often an archive that stays on paper.

The answer: bring the AI to the document

Instead of sending the document to the AI, the system is installed on the organisation’s own machines or internal server and works without an internet connection. Documents are scanned, read and turned into searchable text without a single page leaving the building.

Why Arabic is a special challenge

That is why a general system designed for English with Arabic added later is not enough. An Arabic archive needs a system built for Arabic from the start, and tested on real documents rather than clean printed text alone.

What the organisation gains

This idea is the foundation of our product Ijam, which runs fully offline and sends every word it is unsure about to a human reviewer before a document is approved.
